<p class="text-node">Join the team at Hotel St Paul! </p><p class="text-node">Hotel St Paul, an architectural gem in the heart of Old Montreal, is looking for a talented Events Coordinator and Administrative Assistant to enrich its team. </p><p class="text-node">Your mission: Assist in the planning and coordination of events while supporting the office's administrative tasks. </p><p class="text-node">Main responsibilities: </p><p class="text-node">Group and meeting coordination (90%) </p><ul class="list-node"><li><p class="text-node">Coordinate and plan groups and meetings from the signing of the contract to the conclusion of the event, by responding to client needs and adopting a proactive approach. </p></li></ul><ul class="list-node"><li><p class="text-node">Act as the main point of contact for the client, identify their needs and desires, anticipate requests, and ensure the smooth running of the event (audio-visual, food and beverage, room setup). </p></li></ul><ul class="list-node"><li><p class="text-node">- Collaborate closely with catering, housekeeping, and technical departments to ensure every detail is in place. </p></li></ul><ul class="list-node"><li><p class="text-node">Prepare the weekly calendar of groups and meetings and explain the details of each event to all department heads during the weekly banquet meeting. </p></li></ul><ul class="list-node"><li><p class="text-node">Plan and organize additional client needs. </p></li></ul><ul class="list-node"><li><p class="text-node">Collect deposits, respond to direct billing requests, and send final invoices. </p></li></ul><ul class="list-node"><li><p class="text-node">Create groups in the management system, and upon receipt of participant lists, forward them to reservations. </p></li></ul><ul class="list-node"><li><p class="text-node">Ensure client satisfaction by anticipating needs, managing unexpected situations, and responding efficiently to requests to create memorable experiences. </p></li></ul><ul class="list-node"><li><p class="text-node">Follow up with clients after events and address any client feedback. </p></li></ul><ul class="list-node"><li><p class="text-node">Prepare post-event reports to measure the success of groups/meetings and suggest improvements for future events. </p></li></ul><ul class="list-node"><li><p class="text-node">Implement processes aimed at enhancing client experience for future events. </p></li></ul><p class="text-node">Administrative support to management (10%) </p><ul class="list-node"><li><p class="text-node">Assist the management team, particularly the General Manager, with administrative aspects as needed. </p></li></ul><p class="text-node"></p>
