Position Summary:
The Hospitality Event Coordinator is responsible for planning and organizing events within the hotel, ensuring that all client expectations are met. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks and priorities simultaneously.

Your Responsibilities:

Event Planning:

  • Collaborate with clients to understand their needs and expectations.

  • Develop event proposals, including budgets, menus, schedules, and service recommendations.

  • Coordinate with various hotel departments (kitchen, service, housekeeping, etc.) to ensure everything is ready for the event.

Logistics Management:

  • Manage bookings for meeting rooms, banquet halls, and other event spaces.

  • Oversee event setup and ensure all necessary equipment is available and functioning properly.

  • Manage event schedules and coordinate activities according to client requirements.

Communication:

  • Serve as the primary point of contact for clients throughout the event planning process.

  • Provide clear information and regular updates to internal teams to ensure smooth operations.

  • Respond promptly and professionally to client requests.

  • Introduce clients to their on-site contact upon arrival.

Post-Event Follow-Up:

  • Collect client feedback to improve future services.

  • Manage event billing and follow up on payments.

  • Perform any other related tasks as required.

Your Profile:

  • 2–3 years of experience in a similar role.

  • Excellent organizational skills and strong attention to detail.

  • Ability to work under pressure and manage multiple tasks simultaneously.

  • Strong communication and customer service skills.

  • Proficiency with computer tools and event management software (e.g., MS Office, planning software).

  • Knowledge of safety standards and hospitality procedures.

Preferred Skills:

  • Fluency in multiple languages, including English and French.

  • Knowledge of current trends in events and hospitality.

  • Training or education in event management or hospitality.

Working Conditions:

  • Full-time position with variable hours depending on events.

  • Dynamic and fast-paced work environment.

Languages: Bilingualism (French and English), both spoken and written, is required for this position, as we serve an international clientele.
