Job description

Position Summary


The Motel Manager position for the Motel Le Refuge located at 43 rue Queen Sherbrooke Quebec is responsible for the overall operation, safety, and guest experience.  This is a permanent live-in position, the Manager is expected to provide a strong and consistent presence on the property, respond promptly to issues, and maintain high standards in hospitality, cleanliness, and facility upkeep.  This role oversees staff, manages day-to-day operations, and ensures that the motel operates smoothly and profitably while creating a welcoming environment for guests and employees alike.


Essential duties and responsibilities


Guest Services and Front Desk Management


  • Provide professional and friendly service to all guests, including handling reservations, check-ins, check-outs, and inquiries
  • Monitor guest satisfaction and address concerns promptly and effectively 
  • Read and respond professionally to reviews on third party booking sites and google
  • Review and maintain accurate records of guest payments and monthly deposits
  • Report any issues that need repair to appropriate person and facilitate necessary repairs with kindness and professionalism (e.g., maintenance, plumber, electrician, contractor)
  • Ensure front office is clean, stocked with materials, and presentable at all times
  • Maintain availability to respond to guest needs during both office hours and after hours as needed
  • Make sure that all shopping is done and that housekeeping and front desk have all the supplies that they need (e.g., Costco runs, online ordering for linens, etc.)


Staff Oversight and Scheduling


  • Supervise and support assistant manager, office staff, housekeepers and maintenance staff
  • Create and maintain weekly schedules for office staff, and ensuring that housekeeping is adequately covered for busy periods
  • Provide on-the-job training and ensure staff follow established policies and procedures
  • Communicate expectations clearly and address performance and conflict issues professionally


Property and Facility Oversight


  • Conduct regular walkthroughs of rooms, common areas, and grounds to ensure cleanliness and functionality
  • Identify and coordinate repairs or maintenance needs with staff or external contractors
  • Water indoor and outdoor plants as needed and ensure that grounds are tidy (on the days that you work)
  • Handle laundry overflow when necessary


Administrative and Financial Duties


  • Manage cash handling, invoicing, cash deposit (once a month) and basic bookkeeping tasks
  • Maintain payroll records and send to appropriate department
  • Order supplies and maintain appropriate inventory levels for office, housekeeping and guest use
  • Monitor occupancy trends, assist with pricing adjustments, and support marketing or promotional efforts
  • Make sure that reservation platform is up to date with accurate prices for normal times, for weekends and holidays
  • Maintain accurate records related to payroll, scheduling and staffing
  • Hiring of housekeeping and office staff
  • Maintain tourism sites, government forms (provincial and federal) third party websites, reservit, client door interface, and website.  


Emergency and after-hours response


  • Remain on call for urgent guest or property issues outside of office hours (e.g., smoke alarm, doorbell)
  • Handle emergency situations (e.g., plumbing, safety concerns, guest incidents) with professionalism and calm judgement
  • Serve as the point of contact for fire, health, or security inspections



General Expectations


  • Maintain a high standard of hospitality, professionalism, and integrity at all times
  • Live on-site in the provided housing unit and be available as a consistent, reliable presence for guests and staff
  • Communicate effectively with motel ownership, providing updates and insights as needed
  • Promote a positive, respectful, and team-oriented workplace culture
  • Adhere to all legal, health and safety requirements
  • Perform other duties as assigned to support the operation and reputation of the motel

Requirements

Qualifications


  • At least 4 years previous experience in hospitality, property management, and supervisory roles
  • Strong leadership, communication and problem-solving skills
  • Ability to manage multiple tasks and adapt to changing priorities
  • Comfortable with basic computer systems (e.g., reservation platforms, spreadsheets, email)
  • Capable of handling occasional physical work such as lifting laundry or assisting with cleaning when needed
  • Must be reliable, organized and self-motivated
  • Willing to live on-site and be available for on-call needs
  • Must be bilingual (English and French)
  • Must have reliable transportation for shopping
