Workplace: 1050 Rue De La Gauchetière West, Montreal, QC H3B 4C9
Status: Full-time, permanent
Salary: Between $50,000 and $55,000 annually, depending on experience. Benefits are in accordance with the hotel’s policies.

Acquired in 2018 by Tidan, this hotel is located in the heart of the Montreal metropolis. The Marriott Château Champlain is a 1-minute walk from the metro, accessible by an underground route, adjacent to the Bell Centre and also by 1000 de la Gauchetière. This iconic and emblematic hotel in Montreal was completely renovated in 2021, with 36 floors, 614 rooms, 13 suites, 25 meeting rooms and can accommodate up to 1000 customers. Reporting to the on-site Human Resources and Payroll Specialist, the Human Resources Administrative Assistant plays a key role in the administrative management of the property’s HR activities. This position supports the Human Resources department in a variety of administrative tasks and helps ensure the continuity and quality of HR services across the hotel.

Main Responsibilities:

1. Employee File Administration
  • Prepare and update both physical and electronic employee records in UKG and other systems.

  • Process administrative changes (address, SIN, etc.).

  • Scan, file, and archive HR documents.

  • Ensure files meet legal and internal compliance requirements.

2. Recruitment, Onboarding & Internal Movements

  • Post job openings and prepare job assignment letters.

  • Prepare and verify onboarding documents.

  • Organize logistics for new hires (EID, system access, lockers, employee cards, name tags).

  • Coordinate internal communications (new hires, anniversaries, etc.).

3. Offboarding Support

  • Retrieve access cards and keys, check and clear lockers.

  • Prepare administrative documentation related to employee departures.

4. Internal Communication & Coordination

  • Handle common employee requests (system access, pay stub copies, etc.).

  • Coordinate the distribution of HR documents and notices.

  • Publish communications on internal channels (cafeteria screens, bulletin boards).

5. Support for Internal Programs

  • Assist with the Ambassador Program and other recognition initiatives.

  • Support the planning and execution of internal events (Employee Week, Annual Gala).

Requirements:

  • Experience: 3 to 5 years of administrative support, preferably in HR or the hospitality industry.

  • Technical Skills: Proficiency in Microsoft Office Suite. Comfort with HR and payroll software (UKG and Nethris experience is an asset).

  • Organizational Skills: Detail-oriented, able to manage multiple priorities effectively.

  • Interpersonal Skills: Discretion, strong service orientation, clear communication, and the ability to work in a multicultural and unionized environment.

  • Language Skills: Proficiency in both French and English, spoken and written, is mandatory. While French is the primary language of communication, English is required to support employees who are more comfortable in English.
