Description

The Antonopoulos Group is currently looking for a Sales Coordinator to join the Sales department. Answering to the Sales director, the Sales Coordinator will use his aptitudes to make the department shine.

Main responsibilities:

·         Answer internal and external calls in a professional manner;

·         Filter, answer and dispatch incoming communications;

·         Write and prepare proposals and contracts;

·         Data entry in Opera (room blocks, status changes, etc.);

·         Handle the transition of important information for group reservations confirmed in Opera;

·         Be in charge of sales-related promotional material and organize information packets (for example brochures, promotional material, welcome kit, souvenirs, etc.)

·         Generate a list of prospect clients and business developments and keep the database up to date (Knowland Insight, Opera, etc.);

·         Control, manage and keep up to date all information related to the company on our supplier websites (CVENT, Lanyon, Nexus);

·         Assist the Sales team with an efficient communication through completion of important documents;

·         Contact prospect clients to create business opportunities;

·         Meet with clients when the Sales Director or the Sales Representative are away in order to share all details in an efficient and professional manner all sales details;

·         Manage all bills asked by the Sales Director or Sales Representatives;

·         Do all necessary research and data gathering for reports and various documents;

·         Support sales Representative to help create Rate Flyers, to verifier rate validity and concordance with Synxis, to optimize BT account files, to keep the BTCRM up to date, etc.;

·         Prepare daily weekly and monthly reports for the Sales department;

·         Follow up on entries and changes in PRO groups in the Sales Department

·         Activate Open Block Codes and Individual Call-in Codes;

·         Coordinate necessary arrangements with sales related suppliers;

·         Ensure the adequacy of sales-related equipment and material is adequate and available at all times;

 

Requirements

Qualifications and Requirements:

·         Diploma in Hospitality, Administration or any other related field;

·         1 to 2 years of experience in a similar position;

·         Excellent verbal and written proficiency in both French and English (profound knowledge of grammar and vocabulary in order to write, proof-read and translate various documents);

·         Well organized and responsible with an aptitude in management of priorities;

·         Developed aptitude in customer service;

·         Be a team player with a high level of dedication;

·         Knowledge of Opera, Lanyon, CVENT, Hotelligence (an asset) ;

·         Medium or expert knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
