Sales & Banquets Coordinator
Under the responsibility of the Sales and Marketing Director, the Sales and Banquet Coordinator will:
Respond to requests for meetings, conventions, groups and other queries from a variety of mediums accurately, professionally and in a timely manner.
Maximize the sale of rooms, banquets, meeting spaces, foods and beverages, audio-visual, and other related services.
Analyze, coordinate and determine customer needs.
Coordination of groups contracted by the sales team. While doing the necessary follow-ups.
Creation and revision of banquet contracts (BEO) for all functions.
Make the necessary correspondence, reports and forms (contracts, proposals and any other required documents)
Communication pre, post-events and perform satisfaction surveys.
Communicate effectively with all departments to ensure the details of groups, meetings and special events are well communicated. Ensure that the actions are well executed and exceed the expectations of the client.
Develop interpersonal relationships in a professional and courteous manner.
Work in cooperation with the sales team to achieve objectives and exceed monthly and quarterly quotas.
Have a general knowledge of hotel rates, strategies, discounts and promotions.
Assist the team in executing sales strategies.
Represent the hotel with the highest level of integrity, professionalism and sincerity.
Accounts and Management: Maintain documents and files in an organized, accurate and up-to-date manner using tools provided by the employer
Work with the accounting department and ensure that billing is properly handled accurately.
Check daily that invoices are up to date.
Set short, medium and long term goals.
Offer flexibility based on customer schedules.
Prepare and write weekly, monthly, quarterly and annual reports
Participate in the Directors in Duty program.
Any other related tasks.Requirements
Previous experience in an agent position at the reception required
Previous experience in a similar position is an asset
Knowledge of the FOSSE operating system is an asset.
Knowledge of the local market.
Must be thorough and detailed with strong organizational and negotiation skills.
Have the ability to maintain an excellent relationship with existing clients.
Ability to work in an environment that requires problem solving and excellent communication skills.
Advanced knowledge in computer science.
Mandatory bilingualism, both oral and written (French and English).
Diploma in hospitality and training in sales are assets.
Established contacts and market knowledge are assets.
