Marketing Coordinator

Division: Sales and Marketing

Department: Sales and Marketing

Reports to: Director of Sales and Marketing

Job description

Sales and Marketing Coordinator provides administrative and customer support to the Marketing and Sales team as needed.

The candidate must be a team player and have strong interest in sales and marketing.

Core responsibilities

  • Developing social media copywriting for two channels following brand DNA and tone of voice; 

  • Create curated content with direction from the Marketing Manager to ensure it amplifies key messages and tells a story consistent with our hotel and Four Seasons brand identity;
    Manage internal content calendar and coordinate content from operations staff ensuring all conceptual and creative ideas meet objectives and timelines
    Executes effective community management on different web platforms; 

  • Utilize available programs to integrate proper User Generated Content
    Contribute regularly to Corporate social media initiatives, and implement local social media partnerships for cross-promotional opportunities
    Manage social media analytics, monitoring tools and report results and findings;

  • Prepare monthly Social Media Report;

  • Providing administrative support and performing other tasks and projects as required by the Director of Marketing, PR Manager and Director of Sales;

  • Assist PR and Communications manager/Director of Marketing as needed with admin, graphics and collateral, content creation;

  • Provides secretarial and administrative support of Marketing/PR Manager in the line with Four Seasons Hotels and Resorts brand standard Coordinating PR activities for special events (media dinner, media FAM, CSR campaign and etc);

  • Writing necessary correspondence as it relates to marketing and PR activities;

  • To be proficient in Four Seasons unique electronic selling tools;

  • Assist with special projects and requests as required by the Director of Marketing;

  • Understand Four Seasons Management Operating Standards (MOS) for Sales and Marketing. Carry out responsibilities in line with these standards;

  • Assist in preparation of reports as required by the Director of Marketing;

  • Maintain all files in accordance with established procedures and standards;

  • Maintain the office in a neat and orderly manner and keep it stocked up in accordance with established guidelines and standards;

  • Regularly collaterals, brochures and giveaway inventory check to ensure sufficient stocks are available;

  • Assists in maintaining a comprehensive master library for all advertising, collateral, magazines and public relations activities;

  • Conduct site inspections for PR contacts and media as necessary

  • Assist in coordination and execution of all printed materials

  • Assist in production of all displays and temporary signage in hotel public areas;

  • Assist in maintaining comprehensive list of media contacts;

  • Organize press visit itineraries through consultation with Manager. Coordinate and assist in photo shoots and any other Public Relations/Marketing related activities necessary;

  • Responding to media enquiries related to the hotel under the supervision of Director of Public Relations;

  • Support Sales Managers by responding to general inquiries and client requests, preparing sales documents (proposals, contracts, presentations) and actively conducting follow-up activities;

  • Conduct site inspections, actively solicit new business and respond to inquiries in absence of Sales Manager, submit RFP on Cvent and similar platforms;

  • Assist in planning and execution of site inspections, fam trips, client entertainment and similar sales activities; attend and participate in client meetings;

  • Answer incoming phone calls and pre-qualify leads in a time-efficient and professional Manner. Comply with Four Seasons standards for sales and marketing, while working closely with all team members of the Sales & Marketing Team;

  • Prepare internal communication and attend internal meetings to share information efficiently and in professional manner;

  • Use company wide programs and platforms for group business development;

  • Manage and maintain Golden Sales & Catering high quality data input including account creation, account activities, contact information, client email lists, bookings etc. In accordance     with Four Seasons standards;

  • Process Comp requests for entire Sales and Marketing Team;

  • Create Newsletters for Sales, Marketing and Catering Team;

  • Create Internal Presentations for Sales, Marketing and Catering Team;

  • Order Office supplies through BirchStreet for entire team;

  • Create PO’s in BirchStreet for all PR and Media related activities;

  • Write welcome cards for department as needed;

  • In need periods, supports Conference & Services Team.


Desired qualifications and skills

  • Ability to communicate fluently in English and French, both orally and in writing;

  • Have a good resistance to stress and manage it positively and effectively;

  • Be comfortable in a fast-paced environment;

  • Demonstrate a very good team spirit;

  • Interest and ability to provide outstanding service to our internal, external customers and our suppliers;

  • Have an excellent presentation and elocution, in French and English, and interpersonal skills to meet the expectations of a high-end clientele;

  • Maintain a professional appearance and behave in a mature manner and with integrity at all times, including outside the hotel while on business;

  • Attention to detail and ability to multitask in a dynamic environment;

  • Be organized, meticulous and resourceful;

  • Demonstrate creativity and initiative;

  • Experience in content creation;

  • Strong computer skills, including a working knowledge of MS Word, Excel, Publisher and Power Point, Adobe, etc.;

  • Digital Marketing experience;

  • Great sense of Aesthetic;

  • 2 to 3 years’ experience in a similar position;

  • College degree;

  • 1 year PR or admin experience in an international hotel preferable;

  •  Highly motivated individual with strong organizational skills;

  •  Strong team player;

  • Computer savvy with ability to learn and effectively use computerized account management system;

  •  Good knowledge of social media;

  • Must possess excellent written skills with an ability to write effective business correspondence for an international account base;

  •  Proven skills in managing special projects and events independently;

  • Must be detailed and have keen sense of follow-up and meeting of deadlines;

  • Basic knowledge of hotel operations.
