Job description

We are currently seeking an Executive Assistant to the General Manager of Growth to provide day-to-day support and assistance with various projects. He or she also has excellent organizational and time management skills. This person likes to feel that their work is useful and pays close attention to detail. He/she anticipates problems that may be encountered and uses creativity and judgment to solve them. Our ideal candidate is looking for long-term job stability. The schedule for this position is primarily Monday to Friday during business hours and in person.

 

Key expectations of this role are:

 

·       Create a system of being a great assistant to the CGO,

·       Provide administrative support including an organised calendar, updated list of contacts and a master list of projects,

·       Oversee all incoming and outgoing communications,

·       Provide project management support,

·       Assist in research and produce reports,

·       Liaise with vendors and clients,

·       Manage travel for the CGO, her department, and other executives,

·       Track departmental expenses, code, and submit invoices,

·       Work with the Executive Team to help manage team communication and executive meetings,

·       Write down minutes and meeting summaries,

·       Maintain strict confidentiality

Requirements

Profile

 

·       Takes initiative and loves to be helpful,

·       Minimum 2 years of experience in an administrative role reporting directly to upper management,

·       Exceptional attention to detail,

·       Fully proficient in French and English with exceptional grammar and spelling,

·       Highly organised and proactive in managing tasks,

·       Excellent interpersonal and communication skills,

·       Ability to collaborate with diverse individuals,

·       Ability to prioritize and handle multiple projects in a fast-paced environment,

·       A proactive and creative problem solver,

·       High level of confidentiality,

·       Diplomacy and good judgement,

·       Experience in reconciling business expenses,

·       Proficient in Microsoft Office with aptitude to learn new software and systems,

·       Good knowledge of social media platforms,

·       Degree in communications, administrative support or hospitality industry required,

·       Having good knowledge of a luxury hotel operation, a plus,
